BOOKING CONDITIONS FOR THE ULTIMATE TRAVEL GROUP PTY LTD.

Please read the following terms and conditions carefully, as they incorporate the basis upon which bookings are accepted by the Ultimate Travel Group Pty Ltd (The Company), trading as Ultimate Cruising or Ultimate Tahiti.
*Conditions Apply: To be read in conjunction with the full conditions shown below and the “Booking and Passage Conditions” of the relevant ship and/or cruise operator(s).
The package is subject to availability of airline seats and ship cabins at the time of booking. All prices are quoted in Australian Dollars and are per person twin share, unless otherwise stated. The cabin prices are based on specific departure dates, lower level cabin categories and economy class air fares. Prices include all pre-payable cruise, port, tourist and fuel taxes. Prices are subject to currency fluctuations and are current at the time of publication but can change at any time with or without notice, even if the final payment has been made.
Where the transport operator publishes its rates in a currency other than Australian Dollars, then the exchange rate used to convert their tariff will be displayed in the “conditions panel” of the consumer advertisement and/or on the website. If required, an adjustment will be made to the total price, based on the prevailing exchange rate when the final payment is made.
Chauffeur-driven luxury car transfers are limited to 40 kilometres from Auckland International airport, and 30 kilometres from Wellington or Christchurch airports. Additional kilometres can be added for a fee.
Promotional offers cannot be combined in the same purchase. The client can select which offer they wish to apply, at their discretion.
THE ULTIMATE TRAVEL GROUP (ULTIMATE CRUISING) BOOKING CONDITIONS:
Responsibilities: The passage contract in use by the airlines, transportation/cruise companies or firms concerned shall constitute the sole right of contract between airlines, transportation/cruise companies or firms and the purchaser(s) of these tours and/or passages. All tickets, coupons and orders are furnished and issued subject in all respects to the terms and conditions under which the means of transport or other services provided thereby are offered or supplied by owners, operators, public carriers, managing agents and agents.
The Company (which for the purpose of these conditions shall be deemed to include any subsidiary affiliate, associate agent or company) gives notice that in issuing tickets and coupons for travel, conveyance or transport by any means, and in making arrangements for hotels or other accommodation, it is not acting as a principal, but as agent only for companies, corporations or persons providing or offering the means of travel, conveyance, transport and accommodation.
Accordingly, The Company will accept no responsibility in respect to either person(s) or property for any loss, damage, death, injury, accident, delay or irregularity, however occasioned, sustained or suffered in or during any packaged journey, trip, cruise or tour, or in the carrying out of any arrangements booked by or through it and not withstanding that its principal may be a foreign company, corporation or person and that so far as The Company shall not be acting as such agents, as above, The Company shall be deemed to be acting as agents for the passengers making the bookings.
Neither The Company nor its servants, agents or employees shall be or be responsible or liable for any additional expense or liability sustained or incurred by the passengers as a result of any of the foregoing clauses. No refunds will be made for unused ground content services provided in any holiday. The Company reserves the right to decline to accept any person on any tour or cruise and to substitute hotels where necessary.
The passengers' travel agent is responsible to inform The Company of any special requirements and to communicate changes/alterations advised by us. No representations made by the passengers' travel agent concerning the quality, location, or any other matter in relation to the services and facilities provided by The Company shall be binding unless the agent has been expressly authorised by The Company to make such representations. The issuance and acceptance of receipts, tickets, service vouchers and/or exchange orders shall be deemed as consent by the passengers to the above conditions.
Currency Conversion: Where the transportation/cruise operator publishes its rates in a currency other than Australian Dollars, then the exchange rate used to convert their tariff will be displayed in the consumer advertisement or on the website. If required, an adjustment will be made to the total price based on the prevailing exchange rate when the final payment is made.
Deposits/Final Payments: A deposit of 33% of the cruise cost is required within seven days of confirmation with the final balance of the cruise and any other arrangements required no later than 90 days prior to departure. For bookings made within 90 days of departure, full payment must be made within seven days of booking confirmation. If for any reason the final payment is not received by us by the due date, the booking will be automatically cancelled.
In some cases, however, airfares, land arrangements and cruise passages must be paid for in a different time frame to that required by The Company. These imposed requirements take precedence and must be complied with in order to purchase the particular airfare, land arrangement or cruise. This will be advised at the time of booking.
Amendment Fees: Where a booking is amended or altered by the passenger after a deposit is paid, a fee of AUD$55 per amendment will be charged, plus any additional charges levied by airlines, cruise operators, accommodation houses or service providers. Changes made after documents have been issued incur a AUD$55 amendment fee per amendment, plus any re-issue fees charged by airlines and/or cruise operators.
Cancellation Fees: Cancellation made at any time after confirmation will incur a cost of AUD$330.00 per person. In addition, cancellations made between 90 and 60 days prior to departure will incur a cancellation fee of AUD$330.00 per person plus one third of the cruise and package cost. Cancellations made 60 days or less prior to departure will incur a cancellation fee of 100% of the cruise and package cost.
In some cases airlines, land and cruise operators apply more stringent cancellation fees than those outlined above. In such circumstances, the relevant cancellation fee schedule will be advised in writing at the time of booking.
Late Bookings: We are able to accept late bookings (within 45 days of departure), subject to availability of airline seats, cabins and accommodation. There will be a late fee of AUD$55 applied for bookings made within 45 days of departure to cover the additional communication and documentation costs.
Change in Holiday Prices: Prices quoted by The Company are subject to change, with or without notice, in the event of unforeseen circumstances such as increases in cruise, land and airfare costs or changes to levies and/or taxes, or changes in exchange rates. In the event of such increases, The Company reserves the right to adjust prices, as may be necessary, at any time up to and including the day of departure of a holiday; even though full payment has been made.
Tour Cancellation: Itineraries are subject to alteration if airline schedules or cruise itineraries are amended, or if any property overbooks its accommodation, or through any other condition beyond our control. In the event that, prior to departure, any change or changes materially alters the contemplated holiday and with respect that we may have already accepted a deposit or balance of payment, you have the right to request an alternative departure or to withdraw from the tour and monies already paid will be refunded less any charges levied by service providers.
Refunds: No refunds will be made for any unused accommodation, meals, tours or other services not utilised once the holiday has commenced. Included in the tour costs are charges for nominal booking procedures, communications, administration, printing, etc. The holiday constitutes an inclusive tour package and, as such, an itemisation of costs will not be rendered.
Insurance: We strongly recommend that at the time of booking you purchase a comprehensive travel insurance policy of your choice as the holiday price does not include insurance. We suggest that the policy should include, but not be limited to the following features: loss of deposit or full payment through cancellation; loss of personal baggage and loss of money; medical expenses; additional expenses to cover hotel accommodation and repatriation to Australia should the holiday need to be extended/curtailed due to illness or because of the sudden death or illness of a close relative; cancellation due to the suspension of transport services as a result of industrial action and/or adverse weather conditions. We can assist you with your insurance needs if requested to do so.
Goods and Services Tax: GST is payable on Australian domestic air fares and/or land arrangements and will be included in your final cost. International holidays do not attract GST.
Claims: Note that no claim by a passenger which arises out of any contract between the passenger and The Company and/or the service providers arising in any manner whatsoever will not be treated valid unless lodged in writing to The Company no later than seven days after the date of return to mainland Australia.
Tour Cost Does Not Include: Meals and sightseeing tours, other than those stated as included in the itinerary, items of a personal nature such as beverages, laundry, telephone calls, excess baggage, optional tours, travel insurance, passport and visa fees and travel costs within Australia to the point of your first international departure.
Baggage: Travel generally is restricted to 20 kilograms per passenger plus one piece of small hand luggage. Additional luggage may be carried as excess baggage, at an extra cost and subject to space availability.
Credit Card Fees: A 1.65% credit card service fee will be applied for Visa and Mastercard. A 3.3% fee will be charged for American Express. No other cards are accepted. The fee applies to the dollar amount of the transaction price when paying by credit card.
